Privacy and Cookie Policy

Transcamion Schiffahrtsagentur GmbH is committed to protecting the privacy of its customers. This privacy policy applies to all domains operated exclusively by Transcamion GmbH, including www.transcamion.com and all websites of the Transcamion brand (“our websites”).

The websites are owned by Transcamion Schiffahrtsagentur GmbH at Landsberger Str. 155 – Haus 1, 80687 Munich, Germany. We are the “data controller” for the personal information you provide to us.

Our contact details can be found in the legal notice of this website.

This privacy and cookie policy summarises what personal information we collect from you before, during, and after you visit our websites, and how we handle it.

Any changes to our privacy and cookie policy will be published on this website.

Data We Collect From You

Information you give us: Transcamion requires you to provide personal data including names, addresses, passport numbers, and payment details in order to successfully complete a ferry booking. Your credit/debit card details remain in our system only for the duration of the booking process and are encrypted using technology from Thawte. Your data is stored on our servers so that we can amend, cancel, or update your respective booking.

Data we collect about you: With regard to each of your visits to our websites, we will automatically collect information about your computer (e.g. your IP address, browser, operating system, etc.) for system administration purposes and to provide aggregated information to our advertising partners.

Transcamion does not use your data for direct marketing purposes; however, we offer our customers the option to subscribe to our newsletter. If you change your mind and no longer wish to hear from us, you can unsubscribe via the unsubscribe link in our newsletter.

If you provide us with data of third parties, for example when you wish to make a booking for another family member, you need the consent of that person to share their data with us.

As part of our freight customer contacts, we also process the following categories of personal data:

  • Names of contact persons and their position/department within the company
  • Contact details of the company’s contact persons (telephone number and e-mail address)
  • Company/employer address data
  • Information about the booked vehicle (type of vehicle and vehicle registration number)
  • Booking data
  • Company VAT ID

How We Handle the Data We Collect From You

We need information about you to:

  • ensure that content from our websites is displayed in the most effective way for you and your computer;
  • provide or deliver information, products, and services that you book, or that we believe may interest you;
  • fulfil our obligations arising from contractual relationships we have entered into with you to provide certain ferry services. This includes sharing certain information about truck drivers with shipping companies as third parties who will provide the ferry services for you.

On some routes where we book your commercial transports, it is required to provide personal data of the driver and any accompanying persons when booking a transport route. The sharing of this data with third parties only occurs when there is a legitimate interest, for example when a shipping company is obliged to communicate the data of arriving passengers to the respective national authorities in advance.

Transcamion will request this data from you anew in each individual case and will not store it internally. We have no reason to believe that said third parties do not also comply with all data protection aspects, but cannot exclude that the processing and storage may be handled differently than at Transcamion. Should we become aware of any misuse, we will inform you immediately.

Personal data of truck drivers and accompanying persons may include:

  • First and last name
  • Date of birth
  • Gender
  • Nationality
  • Passport or identification document details
  • Your employer and your position
  • Contact details (mobile number and e-mail address)
  • Booking data
  • Vehicle information (type of vehicle and vehicle registration number)

In order for you to use our booking agency service, you must provide us with the personal data as a freight customer contact. For drivers and accompanying persons of freight vehicles, it may be necessary for you to provide us with the personal data as described above.

If you do not provide us with this personal data, we will not be able to fulfil our contractual obligations to you or the freight customer, and you or the freight customer will consequently not be able to use our booking service.

By completing a booking with Transcamion GmbH, you agree to receive an e-mail shortly after the end of your journey asking you to rate your trip. This review can be made anonymously. By submitting a review, you agree that your review may be uploaded to relevant areas of the website to inform other users.

We may also use information about your visits to our websites to improve your experience on our websites and to create a general demographic profile of visitors.

How Do We Store and Protect Your Data?

We endeavour to ensure that the personal data you transmit to us remains confidential and secure and is stored in accordance with applicable laws. We will not sell, lend, or otherwise disclose the personal information you provide to us on the websites to third parties (except those listed below), unless required to do so by law.

Where We Store Your Data

Transcamion integrates encryption technology on all its websites to ensure that your data remains confidential. SSL certificates enable the validation that our domain is registered and that we possess a valid certificate; they also encrypt your data in a secure environment.

Sharing Your Data

We share your personal data with certain third parties who provide services on our behalf. They only have access to the personal data they need to provide these services. They are obliged to treat your personal data securely and confidentially.

We may share your data in the following cases:

  • if we wish to sell our operations or our business, we may disclose it to the potential buyer;
  • to other companies in our group, to support the provision of our services to you;
  • if we are legally obliged to do so or to protect the property, safety, or rights of third parties;
  • to protect against fraud or credit risks, we may exchange data with others;
  • to any financial institution with which we have an account for the purpose of verifying creditworthiness and/or validating financial transactions.

How Long Do We Store Your Data?

We will not store your data for longer than is necessary for the relevant purposes. If you have made a booking, we will store your relevant personal information to enable us to offer customer service and provide the corresponding warranty. Different retention periods apply to different types of data, but we generally do not store your data for longer than six years.

Your Rights

Under the General Data Protection Regulation (GDPR) and the Data Protection Act 2018, you have a number of rights regarding your personal data.

You have the right to request access to, rectification, or deletion of your personal data, the right to restrict or object to its processing, and under certain circumstances, the right to data portability.

If you have given your consent to the processing of your data, you have (under certain circumstances) the right to withdraw that consent at any time, which does not affect the lawfulness of the processing before the withdrawal of your consent.

You have the right to file a complaint with the Data Protection Authority if you believe that we have not complied with the requirements of the GDPR or the Data Protection Act in relation to your personal data. If you have any questions about your rights, please contact us in writing at Landsberger Str. 155 – Haus 1, 80687 Munich, Germany.
